QuickBooks Integration Terms
These terms cover the QuickBooks Online integration in RO Engine, shop-management software for independent auto repair shops. They are an agreement between us and the repair shop ("you") that connects its QuickBooks Online company to RO Engine. The person who connects QuickBooks accepts these terms on the shop's behalf and confirms they are authorized to do so. How these terms relate to your other agreements is in section 13.
1. License
While your shop has an active RO Engine subscription or trial, we grant you a limited, non-exclusive, non-transferable, revocable license to use the integration for your shop's own internal business. You may not resell it, give others access to it outside your shop, copy or reverse-engineer it, or use it to access a QuickBooks company you are not authorized to use.
2. What the integration does
When someone at your shop connects QuickBooks Online in Settings → Accounting, RO Engine uses Intuit's standard sign-in (OAuth 2.0) with the QuickBooks accounting permission only. Depending on the mode you choose, it then:
- Reads your chart of accounts, tax codes, payment methods, customers, items and company accounting preferences, so you can choose which accounts our entries post to, and reads back the invoices and payments it wrote to confirm they were recorded as sent.
- Writes, for repair orders closed on or after the start date you pick: an invoice per repair order with its payments (Detailed mode), or one summary journal entry per day (Daily summary mode). It creates the customers, the "RO Engine" items and, if you ask, the accounts those entries need. When a repair order is reopened, voided or a payment is reversed in RO Engine, it updates, voids or removes the matching record, or posts a dated correction rather than editing a posted day.
- Timing. RO Engine checks for new entries about once a minute. In Daily summary mode a day's entry is posted after that day ends. A correction is posted as its own entry, dated the day of the change; a posted day is never edited.
- Never reads or changes bank feeds, bank reconciliation, payroll, or records it didn't create, other than the reads above. It never moves money.
3. Who can connect it
Only people your shop has given RO Engine's Accounting permission can connect, configure or disconnect the integration. By default that is the shop's owners, and your shop decides who else gets it and is responsible for that choice. Intuit's own sign-in then requires the person to sign in to the QuickBooks Online company and approve the connection there. By connecting, that person confirms they are authorized to act for the shop and to grant RO Engine access to that company.
4. Your data
- Your shop's data, in RO Engine and in QuickBooks, is yours. We use the access you grant only to provide the integration to you, as described in section 2 and in our Privacy Policy.
- The access tokens Intuit issues to us are stored encrypted and used only by your shop's RO Engine, only for the reads and writes described in section 2.
- Besides the tokens, we keep only what the integration needs to keep your books consistent: your account choices, and the QuickBooks record numbers that match each RO Engine invoice, payment, customer and item (so a later change updates the right record instead of creating a duplicate). These are kept with your shop's RO Engine data, and RO Engine's assistant features can see the record numbers as part of your shop's data.
- We don't sell your data, and we don't use it, or anything we read from QuickBooks, to train AI models.
- Records the integration wrote to QuickBooks stay in your QuickBooks company after you disconnect or leave RO Engine; managing them is up to you.
5. Your responsibilities
- Review the account mapping when you connect, and the entries in QuickBooks, with your bookkeeper or accountant. RO Engine posts what your repair orders and payments say; it doesn't give accounting or tax advice, and your books, tax filings and decisions remain your responsibility.
- If QuickBooks rejects an entry (for example, a closed accounting period), RO Engine marks it for attention in Settings → Accounting rather than forcing it; someone at your shop needs to resolve it.
- Keep your QuickBooks and RO Engine sign-ins secure.
6. Disconnecting
Your shop can disconnect at any time in Settings → Accounting, or revoke access from your Intuit account's list of connected apps. When you disconnect in RO Engine, it immediately asks Intuit to revoke our access, deletes the stored access tokens, and stops sending anything to QuickBooks.
- RO Engine keeps recording your accounting activity in your shop's account, and holds it unsent. If you reconnect to the same QuickBooks company, it picks up where it left off; otherwise nothing more is sent.
- Your account choices and the matching record numbers stay with your shop's RO Engine data, and are deleted along with it when that data is deleted under your agreement with us for RO Engine.
- Records already written to QuickBooks stay there (section 4).
These terms end for your shop when you disconnect, or when your RO Engine subscription ends. Sections 4, 5, 8, 9, 11 and 13 continue to apply after that.
7. Availability and changes
The integration depends on QuickBooks Online and Intuit's APIs, which Intuit can change or limit. We may update or suspend the integration to keep it working, secure or compliant, and we'll tell account owners about changes that matter. If an entry can't be delivered, RO Engine retries it and shows you its status; it doesn't post the same entry twice. Retries and status reporting are features of the integration, not a promise of any particular availability or timing.
8. No warranty
The integration is provided "as is" and "as available." To the extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement, and we don't promise it will be uninterrupted or error-free.
9. Limitation of liability
To the extent the law allows:
- Neither party is liable to the other for indirect, incidental, special, consequential or punitive damages, or for lost profits or revenue, arising from the integration or these terms.
- Each party's total liability for all claims arising from the integration or these terms is limited to the greater of (a) the total fees you paid us for your RO Engine subscription in the 12 months before the event that gave rise to the claim, or (b) $500.
- These limits don't apply to amounts you owe us for RO Engine, or to a breach of the use restrictions in section 1.
10. Changes to these terms
If we make a material change to these terms, we'll email your shop's account owner at least 30 days before it takes effect and update the date above. If you don't agree, you can disconnect before the change takes effect, and it won't apply to you. If you keep using the integration after it takes effect, you accept it. Changes are never retroactive. Corrections and clarifications that don't change anyone's rights take effect when posted.
11. Governing law
These terms are governed by the laws of the State of Arkansas, without regard to its conflict-of-laws rules. Any dispute arising from them will be brought exclusively in the state or federal courts located in Washington County, Arkansas, and both parties consent to those courts' personal jurisdiction.

13. How these terms fit with your other agreements
These terms add to your agreement with us for RO Engine; they don't replace it. If the two conflict about the QuickBooks integration, these terms control for the integration. Our Privacy Policy describes how we handle personal information. Nothing here changes your agreement with Intuit for QuickBooks.
